FAQ: Booking Restrictions For Low-Demand Ages & Abilities
We are always looking to expand and grow the business to cater for all ages and abilities. However, due to the sizes of the majority of our pools (12m), SwimWay Swimming School specialises in lessons for younger, beginner/developing swimmers. The core demand we have for our lessons is for children aged 3 months – 6 years, up to stage 3 or 4.
We certainly do have a number of older, more advanced swimmers still learning with us, usually up to around 8 or 9 years, working towards stages 5-7. While we are unable to work on and distance/endurance training, these students stick with us due to the amazing work that we can do on technique development and stroke correction. However, we will always keep our clients aware of any restrictions we have when it comes to the children’s progression.
On the SwimWay website, we specify in multiple pages (locations, availability PDF, terms and conditions clauses 1.1-1.4, etc.) the sizes of each pool, and what kind of booking restrictions apply due to the low demand for older/more advanced children in our lessons. In addition to this, we highlight these restrictions on all email communication. We will also contact any clients who may have restrictions applied before they rebook for the following term to remind them of the booking conditions and give them any information they need to make an informed decision on their future bookings with us.
The week before the priority rebooking period for the following term begins, we export a report of all our students swimming with us. We then filter the report to show all older/advanced children. If there are any children who are simply too old/advanced to continue swimming in the pool, we will contact those clients to inform them that we strongly advise they seek out a larger facility to ensure their child continues to progress.
If there are children swimming in 1:2 lessons, who fall under any of the booking restrictions detailed in clauses 1.1-1.4 of our terms and conditions, we will contact these clients to take them through their options for the following term. In summary, one of the following criteria will need to be met for their booking for the following term:
- Their child continues in the lessons with their current partner
- The client sources a child of the same age/stage to swim with their child
- The client books private lessons
If their existing partner does not re-book for the following term, we will honour their 1:2 lesson booking until the end of the 2nd scheduled lesson in the term. If at that point a new partner has not been found, the client will be offered the option to either move to a different space (dependent on availability), receive a refund for the remaining lessons, or pay the difference to have the remaining lessons provided on a private 1:1 basis.
We continue to keep up communication with any affected clients to ensure they are fully informed of the procedures. Should their partner not re-enrol, we contact them again to inform them, offering a list of suitable alternative lesson times should there be any available. Should these not be suitable, or we do not find a new partner by the end of the term, or by the start of the following term, we continue to keep our clients updated, offering as many solutions as possible.
We understand that these procedures can be frustrating for some clients who have swum with us for a number of years and wish to continue to do so. This is why we ensure we are 100% transparent and upfront about the limitations that come with learning in a smaller environment more suited to younger/lower-level children. We have found that due to our constant communication and clarity, we encounter very few problems with many clients simply joining a different class time with a student in a similar scenario.
We are working towards being able to offer a larger facility that can cater to our older/more advanced students, so watch this space! In the future, we hope to be able to simply move any children that fall under any booking restrictions to a larger pool to continue their progression with us. Ultimately, we do not wish to lose any students. We would love to continue to see our children progress towards our higher stages, and onto swimming club level. We value this progression above all else, so if we feel that we cannot fuel your child’s development any longer, we will ensure you are informed.
