We understand the importance of protecting the privacy of all information provided by users of the SwimWay website.  Please read this policy so you are fully aware of how and why we are using your information, as well as your privacy rights and how the law protects you

Collected Information:
In order to enrol for classes, follow students’ progress and receive service emails/texts, users must register and provide certain voluntary information about themselves. The SwimWay staff and CoursePro website will collect and store information about the SwimWay clientele during registration.  We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal data.  You are responsible for keeping any Homeportal access password and user details confidential. We will never ask you for your password.

Financial Information:
For faster payment processing, SwimWay utilises the merchant service Worldpay Cardsave. This service securely stores all credit card information without reaching the SwimWay server.

Third Parties:
We work with two partners who will have access to our customer database.  These companies are fully compliant with all GDPR legislation, data protection and data processing.  For more information on either of the following companies, please contact us on

  • Cap2 is the company that runs our CoursePro bookings system.  We store all our customer information using this system to ensure optimal resource management and scheduling.  We do not enter any customer information onto this system unless they have agreed to our privacy policies
  • Digital Arm is a company that runs and maintains the SwimWay website.  They have access to the customer information inputted using the online contact forms on the site.  In order to advance the site features, they also have a unique login to the CoursePro bookings system

Third Party Websites:
SwimWay is not responsible for the content or the privacy policies of websites to which SwimWay may link. SwimWay uses reasonable precautions to keep the personal information disclosed to us by our users secure and to disclose such information only after obtaining permission from the user (except under the circumstances discussed above).

Use Of Information:
Apart from the cases above, SwimWay will not reveal to any third party a user’s personal information provided to us through the SwimWay website except in the following circumstances:

  • We need to perform banking reconciliation
  • We are responding to subpoenas, court orders or other legal proceedings; or
  • We sell or acquire another business, or are acquired by another business, in which case such information may be one of the business assets transferred

Third parties will not contact our users through the use of email newsletters or our email lists except through advertisements within the SwimWay newsletters themselves.

Our website is created using a WordPress platform which uses “cookies”. Cookies store small amounts of information on your computer or device, to allow certain information from your web browser to be collected. Registering with SwimWay and CoursePro will add you to the mailing database to provide service emails about future courses and availability with SwimWay Ltd. Should you no longer wish to receive this information, simply click here to email using the address we have registered for you, or respond to any of our emails with “UNSUBSCRIBE” (unsubscribing can take up to 28 days to process). Note that clients currently booked with us who choose to unsubscribe may also be removed from important updates about their bookings.

Policy Amendments:
We may update the SwimWay privacy policy on our website.  We advise you to check this page occasionally to ensure you are happy with any changes.  We may also notify you of changes to our privacy policy by email.

Your Rights:
You may instruct us to provide you with any personal data we hold about you.  Provision of such data will be subject to:

  • The supply of appropriate evidence of your identity (for this purpose, we will usually accept a photocopy of your passport certified by a solicitor or bank plus an original copy of a utility bill showing your current address)
  • We may withhold such personal data to the extent permitted by law
  • You may instruct us not to process your personal data for marketing purposes by email at any time.  In practice, you will usually either expressly agree in advance to our use of your personal data for marketing purposes, or we will provide you with an opportunity to opt-out of the use of your personal data for marketing purposes
  • You may instruct us to remove personal data under your rights of the General Data Protection Regulation. Any removal will be limited to regulatory compliance and what is permitted by law
